WMS PTO Roles and Responsibilities

Each role has a general description and the number of people we have for each role. All events and committees also have a Co-President or Co-Vice President as a contact and support person.

  • Co-Presidents (1st year Pres and 2nd year Pres)

    Manage weekly newsletter content and creation with the team.

    Recruit volunteers to open positions. 

    Draft agendas, plan and run PTO meetings. 

    With Exec. Board, work with Dr. Ito to plan speakers and special events

    Coordinate with Committee chairs for events (Turkey Promenade; Mini Marathon) to keep them on schedule and on budget.

    Primary contact for front office staff

  • Co-Vice Presidents (2)

    Attend meetings and events. 

    With Exec. Board, work with Dr. Ito to plan speakers and special events

    Assist Co-Presidents with various tasks

    Coordinate with Committee chairs for events (Staff/Faculty Appreciation; Language Events; Social Chair; Fundraising Chair)

  • Treasurer (1)

    Manage all finances, incoming donations, outgoing reimbursements, and prepare annual taxes. 

    Attend Executive Board meetings with Dr. Ito to review budget

  • Secretary (1)

    Take notes at meetings and email minutes to PTO Board. 

    Asks for minutes approval from prior meeting at the beginning (or end) of the meeting.

    Helps build the Executive Board roster at the end of the year and vote the new budget in with official language listed in the Bylaws. 

  • Communications Chair (1-2)

    Upload weekly newsletter into Membership Toolkit to send Sunday morning at 7am.

    Oversee family directory through Membership Toolkit and troubleshoot member access.

    Send “quick emails” to specific groups/grades (like 8th grade activities and guest speaker notices) or all-school PTO blasts as needed. 

    Central Office/Allison DiRenzo sends community events for newsletter. 

  • Social Media Chair (1-2)

    Facebook and Instagram posts once a week (from WMS newsletter content or other sources). 

    Periodic social media “blasts” on request from Presidents or VPs

  • Web Master (1-2) 

    Manage web updates such as: calendar, board members, meeting minutes, budget, volunteer list.

  • Faculty and Staff Appreciation Committee (2-3)

    Coordinate volunteers to provide snacks for 10 faculty meetings throughout the year with about 130 participants.

    Coordinate volunteers and ordering food for: Teacher Appreciation Week Events, Back-to-school Staff Lunch, End-of-year Staff Breakfast, and small gifts for Nurses Day & Custodian Day. 

  • Spirit Wear Chairs (2)

    Purchase spirit wear to sell through the store at the Donizetti Entrance during half days (11:20am - Noon) to create income for the PTO. 

    Hold sales as needed, replenish inventory as needed, and find innovative ways to increase income. 

    Create online store in November for holiday orders and publish through the newsletter. 

  • Fundraising (1-2)

    Work with local businesses to generate easy, passive income

    Come up with creative fundraising ideas that work with existing PTO-sponsored events 

    No large fundraising events

  • Social Event Chairs (1-2)

    Coordinates parent social events throughout the year

    Fall New Family Coffee - find family to host morning coffee for new WMS families in the fall

    Parent Social - Fall and Spring social event for all WMS families (coordinate with local restaurant, family host, or other venue)

  • Beautification Committee (2-3)

    Plant pots at entrances seasonally.

    Refresh garden under Kingsbury Sign as needed. Watering both areas as needed. 

    Schedule mulching/weeding events with volunteers as needed and coordinate with town gardener. 

  • METCO Liaisons (2-3)

    Help to plan monthly Fun Friday events with FWMI Coordinator and one spring Boston event for students. 

    Reach out to Dedra Moore at WMS for help finding volunteers and list in the fall newsletter. 

  • WMS Cares (2)

    Work with Courtney Andre, WMS School Counseling, to help WMS families in need throughout the year. 

    Collect gift cards and Venmo donations for specific needs in our community which Courtney will distribute. 

  • Creative Arts & Sciences Coordinator (1)

    Work with Dr. Ito and Teachers to coordinate CAS events

  • Turkey Promenade Chairs (2-3)

    Coordinates Turkey Promenade event with faculty and recruits volunteers

    Coordinates delivery of donations

    Writes thank you notes to staff and sponsors

  • Mini Marathon Chairs (2)

    Coordinates Mini Marathon with Physical Ed Staff

    Orders T-Shirts for 8th grade students (coordinating with PE teachers and art teachers)

  • June Book Fair Coordinator (1-2)

    Works with librarians to coordinate and staff the book fair

  • Grade 8 Committee Chairs (2-3)

    Recruits Committee members

    Coordinates fundraising and events for 8th graders

    Works with PTO Treasurer on fundraising and budget

    Works with Dr. Ito to choose class gift

  • Nominating Committee (2-4)

    All PTO officers may nominate volunteers to positions as needed throughout the year and recruit for their own positions when they are ready to roll off. Note: It is best to recruit 6 months in advance of rolling off (to allow time for shadowing). 

    A specific nominating committee will be formed in the spring to find two new Vice Presidents. VP’s shadow for one year and become Co-Presidents the year afterwards.

Let’s Work Together!

Most roles do not require much time other than during or leading up to a particular event. We spread out the work, get to meet some amazing people and help our teachers make WMS great for our kids!!
